Terms of Use
The terms that apply when you use MyPal Scribe.
Last updated: 26 October 2026
1. About these terms
These terms are an agreement between you and MYPAL HEALTH PTY LTD (ABN 40 653 315 176), referred to as "MyPal", "we" or "us". They apply when you create an account or use MyPal Scribe.
By ticking the box at sign-up, or by using MyPal Scribe, you agree to these terms and to our Privacy Policy. If you use MyPal on behalf of a practice, you confirm you are authorised to accept these terms for it.
2. The service
MyPal Scribe is an administrative documentation tool for healthcare practitioners. With the patient's consent, it transcribes the consultation and drafts a clinical note that reflects what was said, with the wording and grammar tidied. You review, edit and approve every draft, then copy approved text into your own clinical system.
MyPal Scribe includes the MyPal AI Administrative Assistant, which helps with the administrative work around the consultation. It drafts correspondence such as referral letters, booking requests and tasks from your own notes, finds and summarises your past MyPal records, and tracks follow-up items. Everything it drafts is shown to you to approve, edit or dismiss, and you send any correspondence yourself.
MyPal supports your documentation. It does not provide medical advice, diagnosis or treatment recommendations, and it does not replace your clinical judgement.
3. Who can use MyPal
MyPal Scribe is for health practitioners working in Australia. To use it, you must:
- hold the registration or membership your profession requires to practise in Australia, and keep it current;
- be at least 18 years old;
- give accurate details when you sign up, and keep them up to date.
What this means for each profession:
| Profession | What you need |
|---|---|
| GP, GP Registrar, Psychiatrist | Registration as a medical practitioner with the Medical Board of Australia, through Ahpra |
| Psychologist | Registration with the Psychology Board of Australia, through Ahpra |
| Counsellor | Membership of a recognised professional body, such as the Australian Counselling Association (ACA) or the Psychotherapy and Counselling Federation of Australia (PACFA) |
| Social worker | Membership of the Australian Association of Social Workers (AASW), and any state registration that applies where you practise, such as in South Australia |
| Other health practitioners | Registration through Ahpra if your profession is regulated under the National Registration and Accreditation Scheme. Otherwise, membership of the recognised professional body for your profession |
You are responsible for confirming that you meet these requirements. If you are not registered through Ahpra, you must also follow the National Code of Conduct for Health Care Workers where it applies in your state or territory. Tell us if your registration or membership lapses, or is suspended or cancelled.
We may ask you to confirm your registration, and we may decline or close an account that does not meet these requirements.
4. Your account and security
- Your account is for you alone. Do not share your sign-in details or let anyone else use your account.
- Keep your password and multi-factor authentication device secure, and sign out on shared computers.
- You are responsible for activity in your account.
- Tell us straight away at the contact details below if you think someone else has accessed your account.
5. Your responsibilities as a clinician
You remain responsible for the care you provide and for your clinical records. In particular, you agree to:
- Obtain consent. Tell each patient that you use MyPal and obtain their consent before you start a session. Pressing Start session records your confirmation that the patient has consented.
- Follow the law on recording. Use MyPal in line with the privacy, health records and listening-device laws that apply in your state or territory.
- Review every draft. Read, check and correct every note, letter and task before you use, approve or send it.
- Use your clinical judgement. All clinical decisions are yours.
- Keep your records. Copy approved notes into your own clinical system and keep your records for the periods the law requires.
- Meet your professional obligations, including your obligations to your patients under privacy law and the standards of your profession.
6. AI output
MyPal uses speech-to-text and AI models to transcribe and draft. AI output can be inaccurate or incomplete. For example, speech-to-text can mishear words, names or medicines, and a draft can miss or misstate something that was said.
MyPal checks each draft against the transcript and removes statements the transcript does not support. That check reduces errors; it does not replace your review. A draft becomes part of your record only when you approve it, and you are responsible for what you approve.
7. Acceptable use
Use MyPal only for documentation and administration in your professional practice. You must not:
- record or process a consultation without the patient's consent;
- use MyPal for anything unlawful, or in breach of anyone's privacy or rights;
- upload malicious code, or try to access accounts, data or systems you are not authorised to use;
- test, probe or get around MyPal's security without our written permission;
- copy, reverse engineer or resell the service, or use it or its output to build a competing product or train AI models;
- overload the service or use automated tools to access it, other than as we provide.
8. Privacy and your data
Our Privacy Policy explains how we handle personal and health information. In summary:
- Health information is stored and processed in Australia.
- Audio is processed in memory only and is not stored.
- Transcripts and notes are stored encrypted, and you can delete a session at any time.
- We do not sell your data, and we do not use it to train AI models. MyPal adapts only to your own note-style preferences.
9. Intellectual property
Your content. You keep ownership of the notes, documents and other content you create in MyPal, as between you and us. You give us permission to store and process your content only to provide MyPal Scribe to you and as described in our Privacy Policy.
Our service. MyPal owns the software, design, templates, brand and other materials that make up MyPal Scribe and this website. We give you a personal, non-transferable right to use MyPal Scribe for your practice while your account is active. These terms do not transfer any of our intellectual property to you.
Feedback. If you send us suggestions or feedback, we may use them to improve MyPal without owing you anything.
10. Subscriptions, fees and cancellation
- MyPal Scribe is a subscription service. Plans are AUD$120 per month or AUD$1,000 per year, GST included.
- We may offer free months to some new clinicians. Any offer is shown at sign-up. When it ends, your plan starts and you are charged unless you have cancelled.
- Payments are processed by Stripe. Your subscription renews automatically at the end of each month or year, and you authorise us to charge your payment method for each renewal.
- You can cancel at any time from the billing menu in MyPal. Cancellation takes effect at the end of your current billing period, and your plan continues until then.
- When a paid plan ends, the MyPal AI Administrative Assistant is switched off. Your account stays open, and MyPal Scribe and your records stay available.
- If a payment fails, we email you a reminder each week. If it is still unpaid by your next billing date, or 30 days after the first failed payment if that is sooner, your plan is cancelled.
- We may change our prices. We will give you at least 30 days' notice by email, and the new price applies from your next billing period. You can cancel before it applies.
Refunds.
- Monthly plans: we do not refund part of a month. When you cancel, you are not charged again.
- Yearly plans: if you cancel within 14 days of a yearly charge, including a renewal, we refund that charge in full. After 14 days, your plan continues to the end of the year and we do not refund part of a year.
- Billing mistakes: if we charge you twice or charge the wrong amount, we refund the difference in full.
- To ask for a refund, email us at the contact details below. We refund to the card you paid with, through Stripe. Refunds usually take 5 to 10 business days to appear.
- This refund policy does not limit your rights under the Australian Consumer Law. If MyPal has a major failure, you may be entitled to a refund whatever this section says.
Closing your account. To close your account, contact us. When an account is closed, sign-in is switched off straight away and you can no longer see its records. We keep them securely for audit and legal purposes, as our Privacy Policy explains. Copy anything you need into your own clinical system before you ask us to close your account.
11. Availability and changes to the service
We work to keep MyPal Scribe available and reliable. Live transcription is available from 7:00 am to 8:00 pm Sydney time. The service may be briefly unavailable during maintenance and updates, and at other times because of faults or events outside our control.
We improve MyPal regularly, and we may add, change or remove features. If we remove a feature you rely on, we will try to give you reasonable notice.
12. Liability
Australian Consumer Law. Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law or any other law that cannot be excluded. This includes the consumer guarantees.
Limits. To the extent the law allows:
- MyPal Scribe is provided as a documentation tool, and we do not promise that it will be free of errors or interruptions;
- we are not liable for loss arising from clinical decisions, or from a note, letter or other output that you approved, used or sent;
- we are not liable for indirect or consequential loss, or for loss of profit, revenue, data or goodwill;
- our total liability to you in connection with MyPal is limited to the fees you paid us in the 12 months before the claim arose.
Where our liability for a failure to meet a consumer guarantee can be limited, it is limited, at our option, to supplying the services again or paying the cost of having them supplied again.
Your responsibility. You are responsible for loss caused by your breach of these terms, including using MyPal without a patient's consent.
13. Suspension and termination
You can stop using MyPal and cancel your subscription at any time, as set out in section 10.
We may suspend or close your account if you seriously or repeatedly breach these terms, if you no longer meet the eligibility requirements, or where we need to protect patients, other users or the service. Where it is reasonable, we will tell you first and give you a chance to fix the problem.
Sections that by their nature should continue after your account closes, including intellectual property, liability and governing law, continue to apply.
14. Changes to these terms
We may update these terms. We will publish the new version on this page with a new date. If a change significantly affects you, we will email you at least 30 days before it takes effect. If you keep using MyPal after that, the new terms apply. If you do not agree, you can cancel your subscription.
15. Governing law
These terms are governed by the laws of New South Wales, Australia. You and we submit to the courts of New South Wales and the courts that hear appeals from them.
